We are looking for a dedicated Personal Assistant (PA) to support our CEO and the wider team with a mix of administrative, secretarial, and practical office tasks. This is a key role that helps ensure our daily operations are efficient and well-coordinated with tasks from calendar management and communication with stakeholders to setting up meetings and making sure the office is a great place to work.
Your tasks will include, but not be limited to:
Administrative tasks
· Assist the CEO with administrative support, calendar management and ad hoc tasks
· Liaising with other stakeholders to provide data, resolve issues and share best practices/ improve processes
· Be responsible for managing office procurement, including ordering supplies, coordinating with vendors, and ensuring that the office is well-stocked and runs smoothly.
Secretarial tasks
· Telephone call screening and handling communication with stakeholders
· Email, calendar and deadline management
· Meeting scheduling and preparation
· Travel and event management
· Processing of incoming and outgoing post
· Digital document management
Practical tasks
· Help set up lunch from our external lunch provider
· Support with meeting room setup and clean-up (incl. refreshments and materials)
· Receive, register and distribute deliveries (e.g. packages, office supplies, catering orders)
