Key responsibilities:
Act as department assistant and PA to two VPs.
- Manage the VPs’ calendar, including scheduling appointments, coordinating meetings and calls
- Coordinate travel arrangements, including flight bookings, hotel reservations, etc.
- Provide administrative support to the VPs with business processes, ensuring optimal operations
- Assist in the onboarding of new colleagues
- PO creation and vendor creation support
- Coordination with Facilities team on bigger office projects and changes
- Collections for round birthdays and anniversaries only
Assist the VP in working more efficiently to execute their vision to move the organization forward, through:
- Planning and organising events, meetings, workshops, both internal and external, including coordination with participants, preparing materials, taking minutes and following up on action points, incl. PM & Design
- Accompany the VP to key meetings, take minutes and proactively track progress on agreed actions
- Serve as a liaison between the VP and internal and external stakeholders
- Act as a bridge between various parts of the organization to achieve common objectives
- Handle ad-hoc projects and tasks as assigned
