At the Novo Nordisk Foundation BRIGHT research institute at DTU, we create novel methods and technologies as a foundation for development of new environment friendly products, better and less energy consuming manufacturing processes, development of sustainable novel food ingredients, climate friendly farming, etc. In other words, we try to solve some of the biggest challenges in the history of mankind, and you will get the chance to contribute to this. 

Coordination and writer of reports and administrative support
You will have two primary focus areas: One is the center’s reporting to the Novo Nordisk Foundation and DTU – our key stakeholders. The other is administrative support for the Center’s management team and governance committees. 

Regarding the reporting, you will be responsible for assembling input from a range of contributors at the Center (researchers, management team and administrative colleagues) and turn those into quarterly and annual reports in flawless English. The reports are business-critical, as they are a prerequisite for the center’s continued funding and existence. You will have a close collaboration with your Team Lead, who defines the overall structure of the reports, the choice of templates and the content of the reports. Your focus will be to assemble input and write the final report – make everything come together. 

Regarding your role as administrative support, it covers classic secretary tasks like coordination of calendars, sending out meeting invitations, coordination of agendas, ordering of coffee and food and a range of related tasks. In summary, your primary tasks will be: 

  • Coordinate and write the Center’s reports for external stakeholders
  • Provide administrative support for the Center’s management team and external advisory and governing committees
  • Various administrative coordination tasks, such as administrative support of the Center’s teaching activities and collection of data for registering in the university’s impact reporting databases

Experience with coordination within a complex organizational setup
To succeed in this position, you must bring excellent overview and be good at proactively reaching out to many different people in order to meet fixed and strict deadlines. Related to this, you know how to get what you need in due time - without jeopardizing our constructive and collaborative working environment. Since you will work with people from all over the globe, you will also need and open-minded approach including some cultural understanding. Additionally, your CV comprises:

  • An education that provides you with a good administrative foundation 
  • High level English skills, especially in writing 
  • Experience from a similar role in a complex organizational setup
  • Motivation for handling routine tasks with same dedication as you show when handling more complex assignments

Your new team
You will join a team of seven good colleagues including the Center Administrator/Team Lead. Our responsibility counts HR, Finance, Project Management and Fundraising, as well as management and stakeholder reporting. Our daily focus is to nurture a positive and inspiring environment characterized by trust and helpfulness – and a shared dedication for delivering top class administrative services. The Center administration also counts a number of complementary teams, whom you will be interacting closely with during the execution of your tasks. The Center administration has recently undergone restructuring, and we look forward to welcome you into a newly formed team of experienced colleagues, where you’ll be part of defining the team culture.

Salary and terms of employment
The appointment will be based on the collective agreement with the Danish Confederation of Professional Associations or in accordance with the OAO-S Joint Agreement and the organization agreement for Office Clerks, Laboratory Technicians and IT staff (HK/stat). The allowance will be agreed upon with the relevant union. 

Your place of work will be DTU campus in Kgs. Lyngby. The position is a full-time position (37 hours/week). Start date is January 1st 2026 or as soon as possible thereafter according to mutual agreement. Our well-integrated support operations and strong, cross-sectional work culture are partly based on colleagues being available in the offices on a daily basis. Thus, we offer work-from-home opportunities only to a limited degree.
