The opportunity
We are looking for a structured and dedicated administrative assistant who can take responsibility for planning, organizing, and coordinating.
You will become an important part of our administrative team, working across different departments and handling a wide variety of tasks. The position will initially be a maternity cover, with responsibilities divided between Sales Administration and Executive Administration. Once the maternity cover finishes, the role will transition fully into a sales assistant.

 

Your key responsibilities will be:

Sales Assistant:

  • End-to-end order processing for the sales team, and order related communication to our customers.
  • Handle all transport-related communication, including customs documents.
  • Ad hoc sales tasks.

Administrative Assistant:

  • Coordinate conference activities, including various bookings (booth, registration, flights, hotel).
  • Track deadlines for conferences and applications.
  • Coordinate in-house and visitor meetings.
  • Provide administrative support for applications.
  • Attend various meetings and write minutes.
  • Carry out ad hoc tasks assigned by the CEO.

 

We would like you to:

  • Have prior experience as an administrative assistant or similar.
  • Speak and write fluent English.
  • Speaking Spanish, French, Portuguese, Chinese etc. is a huge advantage.
  • Have solid experience with planning and coordination.
  • Are flexible and adaptable in a fast-paced work environment.
