At DTU Biosustain, we are about to take the next big leap forward as we launch the new Novo Nordisk Foundation Biotechnology Research Institute for the Green Transition (BRIGHT). You will become a key administrative partner for our new institute director and management team, supporting, among other things, the development and implementation of new managerial processes, routines, and tools.

The management teams administrative turning point and coordinator
As Executive Assistant your primary focus will be to support the executive management team by coordinating their meetings and managerial processes. This comprises a complex setup counting external stakeholders and a number of different governance bodies including the Stakeholder Committee, Consultation Committee, BRIGHT Ideas Forum and the Scientific Advisory Boards. 

Key words in your role will be coordination and collaboration, but you will also be trusted to prepare reports, applications and presentations, where you gather various input and process this into a clear and coherent form in English. Your primary tasks will be to: 

  • Be the organizational and administrative hub for the Center Director and management team
  • Prepare and attend management and board meetings – gather and coordinate input, create the agenda, send invites, take minutes with action points, and follow up
  • Create reports and presentations based on input from board and management team members
  • Assist the management team on internal communication tasks 
  • Manage and support administrative tasks 

You will be joining us at a very exciting time. In fall 2025, our new institute director will come on board, and a new management team will be established. This new direction and leadership team mean that you’ll need an entrepreneurial spirit and should be motivated by taking on new responsibilities as well as developing new processes and tools. In other words: your tasks will evolve as the new management settles in, and you will play a key role in supporting this organizational transition with tact and sensitivity.

Experience from a similar role in a big organization with multiple stakeholders 
As you will become the puzzle master that brings multiple pieces together, you'll need a strong overview, well-structured approaches, and a keen eye for detail. Since all the pieces are created and delivered by various people in the organization and beyond, you must also have the ability to ensure that others deliver as agreed. You handle this in a balanced way that showcases your people and collaboration skills – you’re able to read the room and tailor your approach to suit the specific stakeholder you’re engaging with. Additionally, your resume comprises:

  • A Master’s degree that enable you to navigate and assess academic information. The ideal candidate has a Master's level education with interdisciplinary degree in climate change, sustainability, or similar.
  • Experience from a similar role in a big organization with many stakeholders and agendas.
  • Good communication skills, including excellent skills in written English (Danish skills is a bonus but not required)

Your new workplace
You will join the DTU Biosustain Support Unit at DTU’s main campus in Kongens Lyngby, Greater Copenhagen. We are 23 colleagues organized into five teams. Your team, consisting of four dedicated colleagues, is responsible for HR, study administration, management support, and finance. In your role as supporting management, you will frequently collaborate with members of the other support teams, in particular the team responsible for fundraising, project administration and the legal aspects of our many partner agreements.

Salary and terms of employment
The appointment will be based on the collective agreement with the Danish Confederation of Professional Associations. The allowance will be agreed upon with the relevant union.
