Would you like to have Denmark’s perhaps best administrative coordinator position?

The Center of Gravity (CoG) officially opens on September 1, 2025 and is a new Center of Excellence funded by the Danish National Research Foundation (DNRF) under the leadership of Professor Vitor Cardoso, and we are looking for the right match to manage our new Center at the Niels Bohr Institute, University of Copenhagen.

The Center of Gravity’s research area is theoretical astrophysics, where the Center deals with the understanding of gravity, gravitational waves, black holes and the cosmos. You can read more about the center and the research here: Center of Gravity

What will your workday look like?
As a research coordinator, you will be coordinating a vibrant, active and large international team of people by supporting all Center members, overseeing expenditures and planning events and activities, all of which you will do in cooperation with the centralized finance team, student assistants and the university administration at large. The position is of course dynamic and can be adjusted and further developed, but we imagine you will be responsible for the following tasks:Coordination of the Center activities (research conferences, international meetings, internal retreats) and setting the direction for the well-being of Center members

  • Coordination of new hires, as well as on/off-boarding of (mainly international) researchers in collaboration with the central HR team
  • Center management sparring and PA support to Center Director Vitor Cardoso
  • Annual reporting to the foundations, including the Danish National Research Foundation, the Villum Foundation, the Simon’s Foundation in collaboration with the Center Director and the co-PIs.
  • Ongoing financial management of the center grant in collaboration with the project economist and center members, as well as financial management of the Center Director’s other grants, including a large Villum grant.
  • Outreach coordinator: communication strategy for the Center’s research dissemination, internal communication and use of digital tools (Teams, Outlook, etc.), as well as coordinating the artist residency program.
  • Project management of, among other things, room optimizations, including renovation of our new lounge area, in collaboration with Campus Services
  • Coordination of the Center’s international guests, including seminar speakers, long-term visiting researchers, research interns, etc.
Who are we looking for?
We are looking for someone who wants to defy gravity and give the Center of Gravity a flying start. With your creativity and organizational talent, you will administratively coordinate the many activities in the Center and help the researchers and PhD students with administrative processes, research conferences, financial management, and outreach activities. At the same time, you have an important role in acting as a link between the central administration and the researchers, and in this respect translate, nudge and streamline processes so that everything is in balance.

Luckily, there is already a good team to support your work, where you will have an active and encouraging Center Director, and you will act as manager for 2 newly hired student assistants, as well as the possibility of drawing on the good support and sparring from your administrative colleagues across NBI.

To be successful in the position, you possess most of the following competencies:

  • You work independently and in a structured manner with the involvement of relevant colleagues from the Center and the Institute
  • You are good at prioritizing the most important tasks when there are more tasks than resources available
  • You have an understanding of finances and experience with budget management
  • You speak and write fluent Danish and English, and can communicate with both researchers and administrators, orally and in writing
  • You have a sense of tact and understanding of the world of researchers, as well as being able to navigate in a politically and oftentimes changing environment with many stakeholders
Personal profile
You have a relevant higher education. You work in a structured and independent manner, and are outgoing, solution-oriented, initiative, and good at collaborating. You can set yourself in respect, maintain a good overview of tasks and resources, take responsibility and follow through on your work portfolio. Salary and terms of employment
Depending on your skills and experience, you will be employed as an administrative officer (fuldmægtig) or special consultant in accordance with the collective agreement for academics in the state. It will be possible to negotiate supplements according to qualifications. The weekly working hours are an average of 37 hours. We would like to be able to welcome the new coordinator on board by November 1, 2025 or as soon as possible thereafter.
